Genuinely free quoting tools for wedding photographers

Search "free quoting software" and you'll find tools that are free, tools that are free for two weeks, and tools that are free until a client pays. They're not the same thing. This is an honest map of your options — what "free" actually means in each, who it really suits, and where a simple free-to-send quote fits.

Before comparing anything, it helps to settle a definition, because most disappointment with "free" software comes from a mismatch here. When a tool says free, it usually means one of four things:

None of these is dishonest; they're just different bargains. The trick is matching the bargain to how many weddings you quote and what you want the couple to be able to do. Below, the four honest categories — with only publicly checkable facts, and a standing reminder to check each tool's current site, since plans and prices change often.

A note on prices: this page names categories of tools, not head-to-head price claims. Pricing and free-plan terms change constantly, so we won't quote another product's exact price or say a specific tool is "still free" — always confirm on the vendor's own pricing page today.

The four kinds of "free"

CategoryWhat it costsBest forThe catch
Full CRM, free trial Free for a trial period, then a paid subscription Photographers who want leads, contracts, invoices and workflows in one system Not free long-term; needs real setup before it pays off
Free invoicing / payment tools Free to send; processor takes a per-payment fee Getting a clean invoice out and taking a card or bank payment An invoice isn't an interactive quote — no package-picking, no live total
Free document & templates Free to copy and edit (Docs, Sheets, Canva-style) A polished-looking quote when you send only a handful a year Static and manual; the couple can't choose, accept or pay in place
Free-to-send interactive quote Free to build & send; deposit collection is a paid add-on Sending one branded link the couple builds, accepts and books on Narrow by design — it's the quote and the deposit, not a whole back office

1. Full CRMs on a free trial

The all-in-one photography platforms — think of the well-known names in this space — usually let you try the whole product free for a set period. That's genuinely useful for kicking the tyres. Just be clear-eyed that a free trial is not a free plan: when the window closes, continuing means a subscription. And these tools are broad by design — leads, contracts, invoices, questionnaires, automations — so the free trial only shows its value after you've invested time configuring it.

If you shoot enough weddings that a pipeline genuinely needs managing, that breadth earns its keep and the trial is the right way to test it. If you mostly need the quote to close, you may be adopting a lot of machine for one job. We go deeper on that trade-off in our comparisons of a simpler HoneyBook alternative, Dubsado, and Studio Ninja. Whichever you consider, read its current pricing page to see what happens the day the trial ends.

2. Free invoicing and payment tools

Several accounting and payment tools let you create and send a professional invoice at no charge, and some let you take card or bank payments. For a photographer who just needs to bill a booked couple cleanly, that can be all you need, and it's a legitimately free way to send the document.

Two honest caveats. First, "free to send" almost always sits alongside a per-payment processing fee — the payment processor (Stripe, PayPal and the like) charges a percentage plus a small fixed amount on each transaction, whatever tool sits on top. That's normal and unavoidable once money moves; just budget for it. Second, an invoice is a bill, not a decision tool. It states a number to pay. It doesn't let the couple pick between your packages, add a second shooter and watch the total settle, or accept before they're invoiced. If you've already closed the couple, an invoice is fine. If you're still trying to win the booking, it's the wrong shape. Our guide on how to get paid as a wedding photographer covers where invoices fit in the wider flow.

3. Free documents and templates

The most genuinely free option is the one you already own: a Google Doc, a spreadsheet, or a free design template. Copy it, drop in your packages and prices, export a PDF, send it. Zero cost, and it can look lovely.

The honest limit is that it's static and manual. Every quote is a fresh copy-edit, so mistakes creep in, and there's no single source of truth for your pricing. More importantly, the couple can only read it. They can't tick the collection they want, can't see the total and deposit recalculate, can't accept, and can't pay to hold the date — each of those becomes a separate email, and every extra step is a chance for an excited couple to go quiet. For a photographer sending a few quotes a year, a template is a perfectly reasonable place to start; if you'd like help structuring it, see how to send a wedding photography quote and how to structure your packages.

4. Free-to-send interactive quotes — where quolby fits

This is the narrow wedge quolby is built for, so here's the honest version of what it is and isn't.

quolby lets you build your packages once, then send one branded link. The couple opens it on their phone, picks their collection and add-ons, watches the total and the deposit settle live, accepts, e-signs a booking contract on the spot, and pays the deposit — which goes straight into your own Stripe account. Building and sending quotes is free. Collecting the deposit online is on the Pro plan at €15/mo; quolby adds no platform fee on top of the payment, though your payment processor's standard Stripe fees still apply, as they would anywhere money moves.

What it deliberately isn't: a full CRM. There's no sprawling lead pipeline, no email-marketing suite, no project management across delivery. If you need all of that, one of the all-in-one platforms above will serve you better. quolby's bet is the opposite — do the moment a couple decides brilliantly, and be usable in about ten minutes. If deposits are the part you care about most, our guide on how to collect a wedding photography deposit walks through it.

So which free is right for you?

There's no single winner here, only the right match for how you sell. The most expensive mistake isn't picking the "wrong" free tool — it's picking one whose kind of free doesn't match what you actually need, and discovering the gap mid-season.

Frequently asked questions

Is there genuinely free quoting software for photographers?

Yes — but check which kind of free. Free-to-copy templates and several free invoicing tools cost nothing to send. Full CRMs typically offer a free trial rather than a permanent free plan, and any tool that collects money will pass along a payment processor's per-transaction fee. Always confirm on the vendor's current pricing page.

What's the difference between a free trial and a free plan?

A trial gives you the paid product for a limited time, then charges to continue. A free plan lets you keep a defined feature set indefinitely at no cost. Many photography CRMs are free-trial, not free-plan, so read the small print on when billing starts.

Can I send a quote for free and still collect a deposit?

Building and sending can be free; collecting money involves a processor like Stripe or PayPal, which charges a fee per transaction whatever tool you use. With quolby, sending quotes is free, deposit collection is Pro at €15/mo with no added platform fee, and the money lands in your own Stripe — standard Stripe fees still apply.

Are free document templates good enough for wedding quotes?

For a handful of quotes a year, often yes. The trade-off is that a template is static: the couple can't pick packages, watch the total update, accept, or pay a deposit without extra steps. If you want that in one place, an interactive quote does more.

Does quolby take a percentage of my deposit?

No — quolby charges 0% platform fee and never sits in the money flow. The deposit is a direct Stripe charge into your own account — quolby is never a party to the payment, and your account answers to Stripe's own rules alone. Building and sending quotes is free; collecting deposits online is on the Pro plan at €15/mo. The only per-payment cost is Stripe's own standard card processing fee, charged through your own Stripe account, as it would be with any tool.

What's the cheapest way to send a professional wedding quote?

If cost is the only thing that matters, a free document or design template is the honest answer: copy it, add your packages, export a PDF, and send it for nothing. The trade-off is that it stays static and manual. If you'd rather the couple pick packages, watch the total update, and accept in one place, a free-to-send interactive quote does more, with the deposit step as the paid part.

The short version

"Free quoting software" hides four different bargains: a time-limited trial, a free tool with per-payment fees, a free-but-manual template, or a free-to-send interactive quote with a paid deposit step. Match the bargain to how you actually sell — and always check the vendor's current pricing before you commit, because these plans change often.
